Before you book
- Role and responsibilities written down: which car, which corner, which jobs.
- Every date confirmed, including build, travel and pack-down.
- Day rate agreed, and what it covers: hours, overtime, travel days.
- Expenses agreed: mileage, hotel, meals, and who books what.
- Cancellation terms agreed if the event or the car is pulled.
- Experience checked on similar cars or series.
- Licences and tickets the role depends on seen, such as an HGV C+E for the truck.
- Right to work checked for the country you're racing in.
- Insurance: confirm how your team's cover applies to freelancers.
The day before
- Send the timetable, the circuit address, garage number and parking details.
- Share the car's job sheets and set-up notes they'll need.
- Tell them what to bring: tools, team kit, safety boots.
- Give them a named contact for the weekend.
On the day
- Walk them through your garage's safety rules and fire and fuel procedures.
- Pair them with a regular crew member for the first session.
- Check in at the end of each day on hours and anything that has changed.
After the event
- Get their invoice and pay them on the terms you agreed. Paying quickly is how you get the best freelancers back.
- Say thank you, and confirm the work if they did a good job. It helps them win their next booking and makes them more likely to say yes to you again.
- Note what worked for next time, so rebooking is one message.
